Example build

Client and employee onboarding orchestration

A signed contract triggers the entire setup — folders, permissions, channels, tasks, invoice — done identically every time.

This is a reference design we build from — one of a set that are not delivered client projects, and the figures are estimates rather than measured results.

Trigger

Contract marked signed in e-sign or CRM

Timeline

1 wk audit → 2-3 wks build

Stack

Cloud Run or Power Automate · Google Workspace Admin SDK or Microsoft Graph · Slack/Teams API · Asana/Jira/Notion API · Accounting API · Terraform for the templated resources

Outcome

Onboarding is identical every time and takes minutes. Permission mistakes stop being a recurring incident class.

The process today

A signed contract triggers ninety minutes of manual setup — folders, permissions, channels, task templates, welcome emails, first invoice — done slightly differently each time.

What the automation does

Creates the workspace folder structure and permissions from a template. Provisions accounts and group membership. Opens the channel and invites the right people. Populates the project tool with the standard plan. Schedules the kickoff. Drafts the welcome pack. Raises the first invoice. Posts a single completion summary with anything that needs a human.

Where a human stays in the loop

The completion summary flags anything that couldn’t be provisioned automatically or needs a judgement call, and nothing is invoiced without that summary being reviewed.

What you end up owning

The Terraform definitions for the templated resources, the orchestration logic, and the runbook — provisioning against your own Workspace, Graph and project-tool tenancy.
