Quote and proposal generation
An enquiry arrives and a branded, correctly priced quote goes out the same working day instead of two or three days later.
This is a reference design we build from — one of a set that are not delivered client projects, and the figures are estimates rather than measured results.
Trigger
Enquiry form submission, or a deal moved to 'Quoting' in the CRM
Timeline
1 wk audit → 3 wks build → 1 wk parallel run
Stack
n8n or Cloud Run orchestration · CRM API (HubSpot / Pipedrive / Dynamics) · LLM for narrative sections only · Price rules in Postgres · PDF rendering service · E-sign integration
Outcome
Quote turnaround goes from days to the same working day. Pricing errors drop because pricing stops being retyped. Every quote is logged.
The process today
An enquiry arrives; someone digs out the last similar quote, re-prices it by hand, rewrites the scope section, and sends it two or three days later.
What the automation does
Pulls the customer record and history. Selects the nearest matching prior quotes. Applies the current price list and discount rules deterministically — pricing is rules, not a model, applied the same way every time. Drafts the scope narrative from the enquiry. Assembles a branded PDF and puts it in the owner’s approval queue. On approval, sends it, logs it in the CRM, and sets the follow-up sequence.
Where a human stays in the loop
Every quote sits in an approval queue before it goes out. The owner reviews price and scope together and can edit either before sending.
What you end up owning
The orchestration flow, the price rules in Postgres, the PDF template, and the CRM integration — configured against your own price list, not a shared one.
